What is a transaction coordinator?

A Transaction Coordinator is a real estate professional who manages all of the paperwork and deadlines involved in a real estate transaction & there is a TON. They are trained in every step of the process from contract to close!

How will I know what is happening with my Transaction?

We use an online platform which agents can login to (desktop & app) and follow along with our checklists. I encourage agents to include myself & their TC, on a text thread with the clients so everyone is always up to date. We always include the agent on ALL emails sent about that transaction.

What is the expected turn-around time on a file?

As with everything in Real Estate – Time is of the Essence! Your TC will process your files SAME DAY if you submit it (in full) before 4:00 PM MST. After that time or on a weekend, you can expect the file to be processed the following business day. The key is you communicating in a quick & prompt manner.

*** In the event of an extenuating circumstance that we will not be able to comply with the above turn-around time I will always communicate that with you.

It is 9pm on a Friday, I forgot about an addendum I need, Can you write it for me?

Sadly, no. We take care of ALL transaction needs from 9am to 5pm, Monday – Friday. NO addenda, BBA, or ERS will be written outside of transaction hours, 9am – 5pm, Monday – Friday.

I need an offer written, what are the hours for offer writing?

We write offers from 9am -8pm, Monday – Friday & Saturdays from 9am – 1pm. The offer needs to be written, signed, & emailed to the listing agent before the end of our hours. We cannot receive offers at 8pm and be expected to write, send for signatures, and then email once signed. This is usually AT LEAST a 40 minute process. Please be mindful of the hours.

Why do I have to fill out an intake?

We have limited the intakes to the bare minimum so that it takes VERY little time. We need all the information about the transaction from your head and put into our system. This helps us to know exactly what is needed to make this process as smooth as possible. The more information, the better.

What do I need to tell your team?

It is very important that you communicate closely with your TC. Jenn will be included on all communication. Your TC is your first line of defense. That is who will be completing the day to day with your transactions. Jenn will step in as needed to assist. Your TC needs all transaction details ie. dates, addenda terms, emails they aren’t included on, changes to transaction, etc. The more the better!

What are Agent Responsibilities during the transaction?

BUYER TRANSACTION

  • Handling ALL Negotiations – including repairs & any changes to the contract
  • Fill out intake form
  • Maintain good communication
  • Getting initial contract/addenda signed
  • Reviewing the PR
  • Reviewing the Settlement Statement
  • Attending Closing

SELLER TRANSACTION

  • Marketing of the listings
  • Fill out intake form
  • Maintain good communication
  • Taking appointments for showings (unless using a showing service) Handling ALL Negotiations – including repairs or any changes to the contract
  • Getting initial contract/addenda signed
  • Reviewing the PR
  • Reviewing the Settlement Statement
  • Attending Closing

Listing

How soon do I need to fill out a listing intake?

First we only have 5 business days to get a listing on the MLS to be in compliance. It can be active or in active- no show to meet this requirement. It is best if this is received at least one week before listing needs to go live so that we have an adequate time to get everything that is needed.

What is the minimum time required for your team to get a listing live?

For us to get a listing processed it is a minimum of 2 business days. This is if you and your client are SUPER responsive.

The buying agent told me (the agent) about the inspection time and or appraisal time, now what?

It is very important that you inform your TC. Your TC needs all transaction info. so that they can best serve you and your client.

Can you negotiate the inspection and/or appraisal results?

It is very important that we DO NOT imply agency with your client or the other agent. For that matter, we DO NOT negotiate any contract terms on your behalf. Please inform your TC if there will be an addendum needed.

Buyer Transactions FAQs

My buyer went under contract a week ago, that isn’t a problem, right?

We need the intake filled out the day or morning after your buyer goes under contract. We cannot effectively help you if we do not know about a transaction. Deadlines can be missed, documents not sent, etc. We can’t help if we don’t know!

My client told me how they are going to pay their Earnest Money, now what?

It is imperative that you inform your TC of all transaction details so that we can do our job efficiently and effectively.

I, the agent, setup the inspection time and appraisal, now what?

It is very important that you inform your TC. Your TC needs all transaction information so that they can best serve you and your client.
