Listing Set up

      *Agent to do or is a service we provide under one of our admin plans

  • Add clients to Command, create opportunity, create Docusign room or Loop
  • Draft & send client the ERS to sign
  • Fill out Listing Intake*
  • Send clients intro email- explaining the process
  • Send title intro email- open escrow
  • Create the listing in the MLS system
  • Order listing home warranty
  • Prepare file documents for signature- MLS Input, SPCDs, Wire Fraud (whatever docs are required by brokerage compliance)
  • Request PR from Title
  • Request HOA docs
  • Order photos
  • Order sign to be installed


  • Get LBP disclosure (pre 1978)
  • Update MLS with Input information, per client feedback
  • Send MLS Input for signatures
  • Upload all seller disclosure items to the MLS documents
  • Get showing restrictions from client
  • Send photos to JG*
  • Upload photos to MLS
  • Create listing marketing*
  • Set listing live
  • Add matterport/video tour
  • Create listing landing page*
  • Post social media content*
  • Setup showing service information

Under Contract to Close

  • Have buyer sign BBA (Buyer)
  • Fill out offer intake, *Task to be completed by agent (Buyer)
  • Write offer, send for signature, email to listing agent (Buyer)
  • Fill out Buyer Under Contract Intake* (Buyer)
  • Make TC aware of any and all special documents that might be needed for the file* (ie. Disclosure of Interest, Limited Agency, Escrow Instructions, Bill of Sale etc.)
  • Send the other agent the intro letter with contract & make necessary doc request
  • Send Title (and lending) intro letters with under contract information and contract
  • Send client email with under contract information
  • Send “Golden Email”, only applies to certain agents
  • Create buyer marketing*
  • Post social media content*
  • Send file documents for buyer to sign- Buyer Due Diligence, FYP, Mold, Wire Fraud, LBP, SPCDs, & any other brokerage required docs (Buyer)
  • Enter deadlines on calendar
  • Share all calendar dates with agent & client
  • Fill out commission information for brokerage
  • Send/receive weekly updates for/from all contract parties
  • Send file docs to all parties, weekly
  • Collect copy of Earnest Money Receipt (type up receipt if necessary)
  • Send copies of Earnest Money receipt to all parties
  • Collect signed Seller Disclosures
  • Collect & Send all necessary title documents
  • Send title documents to client
  • File documents with brokerage
  • Send copies of necessary documents to title (and lending) throughout the process
  • Draft and send any necessary addenda on the file
  • Schedule Inspection or find out inspection time.

   If you as the agent schedule or are notified of the inspection time it is         imperative that you alert our team

  • Check with agent on inspection results
  • Get appraisal time, add to calendar
  • Check on appraisal results
  • Check if file has clear to close from lender
  • Make sure title orders home warranty, per contract (buyer)
  • Send copy of home warranty to client                                                      (buyer)
  • Request settlement statement
  • Send vendor list*
  • Set-up final walkthrough
  • Send Buyer walkthrough packet* (buyer)
  • Set-up settlement with Title, add to calendar
  • Send client a closing explanation letter & utility information, if necessary
  • Send client all of their file docs
  • Send client Document Receipt
  • Update client address in CRM*
  • Check on funding and recording
  • If TC was not included on communication about funding and recording make sure they are aware*
  • Submit file to brokerage for approval
  • Send client review request link*
